Complaint Procedure

South Bow River Softball has decided to develop a formal process of handling and documenting complaints received on coaches within their organization. The purpose of this process is to have a clearly defined step by step procedure for parents, athletes, spectators etc. A clear understanding of this process by all stakeholders will ensure each individual’s concerns are heard, documented, reviewed and appropriate action taken. Feedback will be supplied to all stakeholders once a decision and course of action has been made.

Process:

  1. A written complaint/concern is to be sent to South Bow River Softball at This e-mail address is being protected from spambots. You need JavaScript enabled to view it . The complaint must be in writing or it will not be considered a valid complaint.
  2. Once the complaint is received, the coaches’ complaint committee of South Bow River Softball will review the complaint.
  3. All parties associated with the complaint will be contacted and the contents of the written complaint will be discussed
  4. The committee will then determine if the complaint is valid or non-valid.
  5. The committee will then determine a course of action.
  6. If the complaint is valid, the committer is empowered to handled it to completion. However, the nature of the complaint will determine whether the committee will deal with the complaint on its own or take it to the board of South Bow River Softball.
  7. If the complaint is forwarded to the board, the board will then review the complaint and determine the course of action.
  8. The committee will then communicate the course of action to the applicable parties involved.
  9. If the board of South Bow River Softball decides that they cannot handle the complaint it will then be escalated to Calgary Minor Softball for final resolution.
